Sales Administrative Analyst

GENERAL RESPONSIBILITIES

POSITION SUMMARY (What does the position do? For what? What scope?)
  • Main goal of the area is to achieve customer satisfaction. To achieve this, you are the central point of contact for internal customers and external service providers. Being responsible for the end-to-end process, from administrating the customers purchase order to creation of and providing sales/shipping documentation.
  • Due to internal regulation, time-zones, and others you’ll most likely not be facing customers.

MAIN RESPONSIBILITIES (What? How?)

General Responsibilities
  • Create, evaluate, and confirm sales documentation in accordance with commercial conditions and company guidelines.
  • Critical approach to sales Back-office activities and their improvement opportunities.
  • Create and maintain sales orders in SAP, including pricing conditions.
  • Collaborate with banks for Letter of Credit processes.
  • Collaborate with shipping lines/agents for BL’s and SWB’s.
  • Creation of invoices, packing lists and other required sales/shipping documents.
  • Responsible for administration, maintenance, and validation of “own” customers master data.
  • Provisioning and pay-out of discounts/rebates/commissions of complex customers in ERP software.
  • Handling after-sales activities, such as deliveries, quality information, claims.
  • Suggest process / automatization improvement.
  • Participate in areas’ projects/goals.
  • Ensure after sales activities, such as quality information, claims, Credit- and Debit notes.
  • Support control area by providing and evaluating documents for Revenue Recognition, contract auditing, forestry certification, various audits.

POSITION PROFILE

EDUCATION
  • Bachelor Bachelor’s degree or technical equivalent in related area (Logistics, Supply chain, International trade)

GENERAL PREREQUISITES

MANDATORY PREREQUISITES (CERTIFICATIONS/ CREDENTIALS, LEGAL TRAINING, LANGUAGES, TOOLS, FIELDS OF KNOWLEDGE...)
  • Fluent English
  • Having a minimum of 3 year experience in Logistics, Supply chain, International trade/documentation.
  • Experienced in SAP ECC for a minimum of 2 year or other ERP packages.
  • MS Office - Excel. (pivot / vlookup / formatting / data management)
DESIRABLE PREREQUISITES (EXPERIENCE, LANGUAGES, TOOLS, FIELDS OF KNOWLEDGE, OTHER...)
  • Knowledge in SAP S4Hana system a strong plus.
  • Any other language is a plus.
  • Knowledge of Letter of Credit is a plus.
  • Knowledge of R2R processes is a plus.
  • Analytical and problem-solving skills, with the ability to analyze & administrate more than basic business processes and identify improvement opportunities.
  • Excellent communication skills, both verbal and written, with the ability to effectively communicate with non-technical stakeholders around the globe.
  • Ability to work collaboratively and pro-actively with cross-functional & cross-regional teams and manage multiple priorities while maintaining ownership and responsibility.

  • A competitive base salary starting at €44.000 gross per year.
