Front Office Agent / Facilities Assistant

We are looking for one of our clients (a globally known IT Company ) located in the 1st district of Vienna for a motivated:

"Front Office Agent / Facilities Assistant" (full-time, 40 hours per week).

Main Responsibilities:

  • Greeting and assisting all employees and visitors
  • Ensure that office is representative, nice and tidy
  • Offer assistance with badges
  • Provide day to day facilities support for the office
  • Daily building walks and routine checks
  • Supervise contractors working onsite
  • Coordinate maintenance/repairs of facilities equipment
  • Manage storage rooms
  • Coordinate and execute smaller moves of up to 3 people
  • Assist with larger moves and shuffles
  • Distributing and controlling of equipment for larger shuffles
  • Assist with reception covers and administrative duties
  • Assist with event support
  • Ad hoc tasks as requested by lead facilities coordinator
  • Filling up stationary sections
  • Checking special services eg. GScooters, E-bikes, Gbikes etc.
  • Ensuring calendar is up to date

Qualifications:

  • Excellent customer service and communication skills
  • Friendly, helpful "can do" attitude is a must
  • Fluent English in oral and written communication
  • 1-3 years of customer service and administrative experience
  • Team player and flexible working style
  • Proactive in identifying and completing tasks applicable to the job
  • Ability to problem solve, exercise appropriate judgement and work independently
  • Reliable, regular and punctual attendance at work during business hours
  • Ability to operate general office equipment such as copier/printer, fax, etc.

Gross monthly salary: EUR 2.000 - (in accordance with the collective labour agreement); higher rates dependent on professional qualifications and experience.
